State of Disaster – Lockdown 27 March–16 April 2020

Attention: All Owners, Residents, Account holders & Tenants

Following the announcement by the President on 23rd March, we have considered our operational arrangements in compliance with the order to close all businesses for 3 weeks.
In anticipation of this possibility, Pro admin has considered contingency measures to enable us to continue with our normal operations as far as possible.

Pro admin’s operational arrangements from Friday, 27th March 2020 will be as follows:

1. Offices and Office Hours:
Our physical offices will be closed, but our operations will continue. Most of our staff are enabled to work from home and can be contacted by email and/or phone/WhatsApp. Office hours remain unchanged, i.e. 08:00 to 17:00, Monday to Friday.

2. Rental, Levy & Utility Payments:
We confirm that payments of amounts due as per your statement are still applicable and payable on or before the first of the month. Since our offices are closed, we regret no payment over the counter will be possible. However, various other payment options are available.

IMPORTANT NOTICE:
1. It has been brought to our attention that there are fake documents being circulated on social media advising that no rent is payable during this period. THIS IS NOT TRUE. If you are unsure about your obligations, please speak to us or get professional advice.
2. The only acceptable payment methods are those indicated below. Pro admin DOES NOT collect cash from door-to-door. Please refuse to hand cash to anybody.

Please see the information below with details regarding each of the payment options:

– Cash, cheque or card payments
Banks, ATM’s and various other payment points will still be operational during the Lockdown and payment can be made in your bank by presenting the bank account number and reference number shown on your statement. Please contact us if you are unsure about the correct details. Also, please submit a proof of payment so we can allocate the payment correctly.

– Electronic Payment (EFT)
Should you wish to make use of the payment via internet or cellphone banking, please ensure that you use the banking details as well as your quick reference number which reflects on your statement.
In the case of clients who bank with ABSA please ensure that on the second request for the “Beneficiary Account Number” the Pro Admin reference number is to be used and not the “bank” account number.

– Debit Order
Payment can be made via debit order. Should you wish to make use of this method of payment, please see the attached debit order form for perusal and completion. Once completed the form may be returned to proadmin@proadmin.co.za. Note: This option is ONLY available for levy payments.

We understand that some of our customers may experience financial hardship as a result of the ‘State of Disaster’ and subsequent lockdown. It’s really important that you contact us as soon as possible if you’re going to struggle with payments on time. Various initiatives have been announced by the government to assist individuals impacted by this situation. We’ll be looking at ways to help you. Please reach out to the relevant staff member to discuss your specific circumstances.

3. Prepaid Electricity:
There are no changes to the current payment options and these are still available during the lockdown.

4. Emergencies:
For after-hours emergencies, we will have staff on standby to assist as before. In terms of the orders issued by the President, emergency repairs to water and electricity installations are exempt from the lockdown. Please continue to call our office number and select the appropriate option for assistance.

5. Common Property & Services:
The expectation is that core essential services such as the provision of Security Services, Water, Electricity and Waste collection will carry on as per normal. Owners, residents & tenants should ensure the maintenance and management of their immediate common property and that the areas are kept in a good state as far as possible during this time.

We further advise for your wellbeing that you must implement measures to limit your interaction on common property and ensure social distancing.
